The Executive Assistant-Sales will provide direct support to the EVP, US&C Sales, as well as provide support to the Sales Team for the US&C.

Responsibilities

  • Sales reporting and analytics – create and produce daily, weekly, monthly, quarterly reporting for EVP and entire sales team.  Also, field requests from other segments and corporate leadership. 
  • Manage organizational deliverables 
  • Ensure deadlines are met 
  • Create and distribute templates 
  • Set up necessary meetings and cadences 
  • Review and produce financial metrics 
  • Gainers and laggers 
  • Top customer reports 
  • Spending reports 
  • Executive presentation management (MIBOR, Town Hall, Strategy plans, etc.) 
  • Aggregation across multiple business lines 
  • Work with key business leaders as needed to refine content 
  • Liaise between executive level and segment leaders  
  • Manage Sales Territory account assignments and new customer assignments 
  • Manage monthly sales incentive plan tracking files  
  • Create and manage SIP payout grids, liaise with HR for payouts 
  • Weekly pulse report – compile from directors and distribute to divisional leaders 
  • Manage new business onboarding and pipeline tracking files, schedule pulse calls 
  • Plan and attend National Sales Meetings, including offsite meals and activities 
  • Coordinate and manage special projects, tracking timelines and deliverables to ensure successful execution  
  • Work with team to develop various sales forecasts and budgets (AOP, monthly, and quarterly) 
  • Executive administrative support 
  • Serve as proxy when EVP is traveling to escalate issues as needed, facilitate timely responses to all requests, and otherwise ensure nothing falls through the cracks 
  • Travel arrangements 
  • Calendar management/meeting scheduling 
  • Legal documents – apply EVP signature  
  • Correspondence 
  • Expense reports 
  • Create and maintain organizational charts for the segment 
  • Equipment requests  
  • Manage personnel changes on the CRM tool  
  • Manage corporate dues and sponsorships with industry associations 
  • Process Sales-related TICS 
  • Price increase letters 
  • New hire onboarding coordination  
  • Help team troubleshoot issues with other business functions – HR questions, company car, etc. 
  • Any additional support as needed – business cards, promotional items, sales awards, one off customer requests, etc. 
  • Travel required as necessary to perform responsibilities
  • Perform other duties as assigned.

Qualifications

EDUCATION & EXPERIENCE:

  • Minimum High School diploma with strong preference for a Bachelor’s degree in Business, Sales & Marketing or related.
  • 5 years of experiences working in Executive Assistant capacity, with preference given to direct experience supporting Sales Team executives, Product Management executives or related.

 

COMPETENCIES:

  • Ability to build and maintain strong, collaborative working relationships
  • Must be detail oriented with excellent organizational and follow-up skills
  • Ability to handle multiple projects and priorities
  • Strong communication skills, both written and oral within the corporation and at multiple customer levels
  • Computer skills, including Microsoft Office products
  • Ability to maintain confidentiality
